As more Organisations consider the benefits of cleared-out filing rooms and electronic documents, they often run into the buffers when it comes to the provision of an Electronic Document Management System (‘EDMS’) in which to hold the images. This is costly in software, hardware and technical resources; if one adds to this the need to install scanners and allocate/train scanner operators, budgetary constraints can delay a much-needed space saving activity.
Cave Tab has frequently encountered this problem: either our Customers’ budget does not allow for this expenditure, or an interim solution is needed until the Corporate EDMS is ready to be put to work.
Our solution is to clear the file room, scan the documents and provide a hosted EDMS service for the viewing of these images for as long as this is needed. This may be only for a few months, or may be indefinite – it makes little difference to us.
This very simple yet highly effective service, named DocsBank, provides users with all the advantages of an EDMS with none of the downsides. Cave Tab scan all your paper records, index them to your specification and then upload the images to secure web space for your staff to use. Access to images is instantaneous and searches are easy as well as fast. You can either scan and upload small daily or weekly batches of documents yourselves if you have an in-house scanning room, or you can send any number of documents to us if you prefer, using our same-day ‘Day Forward’ electronic filing service, which we provide under a Service Level Agreement.
There is no upper or lower limit to the scale of the Hosting Service; some Customers have only 100,000 images on file, others have 5 Million +.
