Cave Tab Helps Havering Council Put Paper In It's Place

Following a competitive tender, physical and electronic document management specialist, Cave Tab Ltd has been selected by the Havering Council to convert an estimated 1.65 million documents into electronic form to support the implementation of an electronic document and workflow management system.

The project is part of Havering's HIPSteR (Havering Improved Processes; Storage and Retrieval) programme to improve processes, support more efficient working practices, enhance customer services, reduce costs and transform Havering into a more customer focused organisation.

The project will also be instrumental in allowing Havering to consolidate it's network of offices and reduce the amount of storage space needed for paper files.

Cave Tab is digitising the contents of around 11,000 files from Havering's Human Resources and Pensions & Payroll departments.  Images are scanned, indexed and returned electronically to Haveringfor automatic upload into the EDMS and workflow management system.  throughout the process, Cave Tab's web-based FileTrail tracking system will provide Havering with complete visibility of all records, with the ability to recall records for fast track processing and transfer at any time.

Cave Tab is also providing a secure destruction and recycling service for all paper documents once the conversion is complete.

To support Havering's commitment to compliance and quality management, Cave Tab's processes for the conversion, transmission, storage and destruction of documents have been developed to provide a clear audit trail, in line with the requirements of BS 10008:2008, the standard for Evidential Weight and Legal Admissability of Electronic Information.
